The position is for a Receptionist, 25 hours per week on a 12-month fixed term contract, the working pattern will be over 5 days per week with a combination of starting at 07.45 a.m. and finishing at 18.30 p.m. within the Reception rota. In addition to this there will be a requirement to work on a rota basis on a Saturday morning 08.45 am to 13.15 pm.
This is a busy role within our Practice and we are building on our commitment in delivering a high-quality service to our patients. The work requires accurate and precise processing skills, and someone who is hard working, able to work both independently and within a team. The successful candidate must have previous experience in customer services including telephone experience and customer care which is essential for the role.
The post is subject to a Disclosure Barring Service check.
Ideally, you will have previous experience of a busy front of house reception area, and have experience in customer service within a General Practice environment. You will need to deal with people at all levels in a calm and courteous manner, even when under pressure, be computer literate and ideally have experience of clinical systems. You need to be able to deliver quality administrative service in an organised and professional way and have previous telephone experience. It is essential that you will be flexible and adaptable to a changing and busy environment. The reception rota shift will include a mix of early starts at 7.45 a.m. with some late finishes at 6.30 p.m. You will be expected to cover both sites for annual leave/sickness purposes and this could be at short notice. You should be able to receive, assist and direct patients in accessing the appropriate services or healthcare in a professional, courteous efficient and effective way. We are a professional and friendly GP Practice looking after around 14,000 patients based in the Wednesfield/Bushbury area. The practice has recently relocated to a purpose built medical centre.
Job Responsibilities:
• Ensure an effective and efficient reception service is provided to patients and any other visitors to the Practice.
• Deal with all general enquiries, explain procedures and make new and follow-up appointments.
• Using your own judgment and communication skills ensure that patients with no prior appointment but who need urgent consultation are seen in a logical and non-disruptive manner. Be able to sign post / navigate patients to other services if required.
• Explain Practice arrangements and formal requirements to new patients and those seeking temporary cover and ensure procedures are completed.
• Receive and make telephone calls as required. Divert calls and take messages, ensuring accuracy of detail and prompt appropriate delivery.
• Enter requests for home visits onto the system, ensuring careful recording of all relevant details and where necessary refer to Duty Doctor.
• Action repeat prescription requests and ensure that they are ready for collection by the patient within 72 hours.
• Ensure all clinics have all required patient documents available for appointments.
• Advise patients of relevant charges if applicable for private (non General Medical Services) services, accept payment and issue receipts for same.
• Enter patient information on to the computer as required.
• Book extended services for patients within the Service Hub i.e. COVID appointments.
• Patient notes and correspondence:
o Retrieve and re-file records as required, ensuring strict alphabetical order is adhered to.
o Ensure correspondence, reports, results etc are filed promptly and in the correct records, ensuring that all recent correspondence is available when patients are seen.
o Ensure records are kept in good repair with all necessary information on the outside cover clearly visible.
• Make sure the kitchen and waiting rooms are always kept tidy and serve refreshments as and when required in turn with other members of staff.
• Premises:
o Open up premises at the start of the day when first to arrive, de-activate alarm and make all necessary preparations to receive patients.
o When last to leave at the end of the day, ensure that the building is totally secured, internal lights are off and the alarm activated.
• Ensure that all new patients’ documents are registered onto the computer system accurately.
• Undertake any other additional duties appropriate to the post as requested by the Partners or the Practice Manager.
