Senior Receptionist
Prestbury Medical Practice
Salary dependent on experience
Hours of work: 25-30 hours per week (Monday to Friday) fixed hours between 8.00am and 6.30pm determined by the reception rota.
In addition to this there may be a requirement to work on a rota basis on a Saturday morning 09.00 a.m. to 13.00 pm. These hours will be paid at an extended access rate per hour. You will be expected to cover for annual leave/sickness purposes and this could be at short notice.
Job Summary:
Manage reception area and reception team. Manage clinical and staff rota to ensure smooth running of site. Provide administrative support to the Practice Manager.
Job Responsibilities:
Rota
- Organise clinical rotas and co-ordinate leave requests
- Update appointments system for leave/duty changes
- Set up and maintain computerised appointment system for all services
- Arrange locum cover, where needed
- Complete staff rotas, including weekend cover
- Liaise with management team concerning staffing and organisation of work
- Attend Partners' meetings as necessary.
Patient services
- Participate in the reception rota, including weekend cover
- Oversee the appointment system for the practice
- Administration of patient prescriptions (manually and computerised)
- Make appointments for patient to see Doctor, Nurse and other clinical staff associated with the Practice
- Deal with telephone enquiries from patients and general public
- Manage phone system and issues
Staff
- Support staff induction, training, appraisals and ongoing review
- Monitor staff attendance and leave requestsEnsure practice policies are followed and maintain administrative records
- Liaise with other members of the primary health care team, including external teams
- Ensure fire safety/alarm protocols are adhered to
- Ensure staff are appropriately trained, supervised and are aware of practice protocols, including care navigation and signposting patients to appropriate services
Administration
- Responsible for administration and maintenance of petty cash
- Administer patient cash payments for services provided
Information
- Ensure communication systems are running smoothly, doctors and reception staff are kept fully informed of changes in procedures
- Assist with production and upkeep of Practice Procedures documents
- Manage paperwork systems including post, internal and external
- Have a working knowledge of all software and hardware
Other duties:
- Any other duties commensurate with skills and responsibilities.
